Introduction and Who We Are

This Privacy Policy explains how TAT CHUAN AUDIO PTE LTD collects, uses, stores, shares and protects personal information in the course of running a listening room on Tannery Lane in Singapore. The website and the workshop services described on it are operated by TAT CHUAN AUDIO PTE LTD, a company registered in Singapore with its registered and operating address at 18 Tannery Lane #05-02 Lian Tong Building 347780, Singapore (SG).

The developer name Tat Chuan Audio appears in this policy as the name under which the company builds and maintains this website and its related digital records. The developer and the company are the same operating team, and every reference to we, us or our in this document means TAT CHUAN AUDIO PTE LTD together with the Tat Chuan Audio development and support group that maintains the online presence.

We value the trust that clients, visitors and suppliers place in us when they share contact details, room descriptions, cabinet records and payment information. This policy is written in plain English so that it can be read without legal training, and it is intended to describe real practices rather than ideal ones. If a practice ever changes, this page is updated before the change takes effect, and the effective date at the top of the page is revised at the same time.

Where a visitor does not agree with the practices described here, the right course is to stop using the website and to contact us before submitting any further information. We would rather answer a question in advance than resolve a misunderstanding later. The desk can be reached at forward@tatchuanaudio.com or on +18588818793 during business hours.

Scope of This Policy

This policy covers personal information collected through this website, through email and telephone contact with the desk, through booking and payment for listening rounds, cabinet tune days, driver matches, dial plate builds, leather bay fittings and handover evenings, and through the ordinary operation of the workshop at 18 Tannery Lane #05-02 Lian Tong Building 347780, Singapore (SG).

The policy does not cover information that is collected by a third party website that a visitor reaches by following a link from our pages. It also does not cover employment records held for members of our own team, which are governed by separate internal notices. Where a client is an organisation rather than an individual, the policy applies to the personal information of the individuals who deal with us on behalf of that organisation.

Some services are delivered at a client site rather than in our room. When an engineer travels to a home or a place of business, the same standards described here apply to any personal information noted during the visit. Engineers are instructed to record only what is needed to carry out the work and to leave any other detail out of the file.

Information We Collect

We collect a limited set of personal information, and we try to keep the set as small as the work allows. The categories below describe what is gathered in normal operation.

Contact and identity details

Name, email address, telephone number, billing or delivery address, and the name of the organisation a client represents. These details are needed to reply to an enquiry, prepare a quotation and arrange a visit.

Project and room information

A description of the listening space, the cabinet model and age, previous repair history, photographs of the room or cabinet where supplied, and the notes written during a listening round or tune day. This material is technical rather than personal in most cases, but it is treated as confidential because it can reveal how a home is laid out.

Service and purchase records

Dates of bookings, services chosen, quotations issued, invoices raised, payments received and the settings recorded at handover. These records support warranty questions, repeat visits and the measurement cards that we keep for each system.

Communications

Emails, messages sent through the contact form and notes taken during telephone calls. We keep these so that we can remember what was agreed and reply consistently if a question comes up later.

Technical information from the website

Internet protocol address, browser type, device type, referring page and the pages viewed during a session. This information is used in aggregate to keep the website working and to understand which pages are useful to visitors.

How We Collect Information

Most personal information reaches us directly. A visitor types into the contact form, sends an email to forward@tatchuanaudio.com, telephones +18588818793 or speaks to an engineer during a visit. Some information is created by us during the work, such as the notes taken at a listening round and the measurement card written at the desk.

A small amount of technical information is collected automatically when a browser requests a page from our server. That information arrives without the visitor doing anything active, and it is used only for the purposes described in this policy. We do not buy contact lists from data brokers and we do not add visitors to mailing lists without their knowledge.

Where a client supplies information about another person, for example an address for joint delivery or the name of a household member who will attend a listening round, the client is responsible for making sure that the other person knows the information has been shared and understands how it will be used.

Why We Use Personal Information

We use personal information for a defined set of purposes. Each purpose is tied to a service that a client or visitor has asked for, or to a legal obligation that the company must meet.

We do not use personal information for purposes that are unrelated to the work described above. If a new purpose arises, we will consider whether the law requires notice or consent and will act accordingly before any new use begins.

Cookies and Similar Technologies

This website uses a small number of cookies and similar storage mechanisms. A strictly necessary cookie keeps a browsing session working and can not be switched off without breaking the site. A preference cookie remembers a choice such as a dismissed notice. An analytics cookie, where used, helps us understand which pages are read and how visitors move between them, and it is configured to avoid collecting more than is needed.

Most browsers allow a visitor to refuse cookies or to delete cookies that have already been set. The setting is usually found in the privacy or security section of the browser preferences. Refusing cookies may affect the way some parts of the website behave, but it will not stop a visitor from reading the public pages or contacting the desk by email and telephone.

We do not use cookies to build advertising profiles across other websites, and we do not permit third parties to drop advertising cookies through our pages. Any change to this position would be announced in this policy before the change took effect.

How We Share Information

We do not sell personal information. We share it only where a service can not be delivered without doing so, and only to the extent needed. The most common sharing situations are set out below.

Every partner that receives personal information is expected to protect it, to use it only for the purpose for which it was shared and to return or destroy it when the work is complete. Where a partner is asked to sign a written agreement, that agreement includes these expectations.

Service Providers and Vendors

Like most small businesses, we rely on a handful of service providers. A hosting provider keeps the website online, an email provider handles correspondence, an accounting system holds invoices and a payment provider processes transfers. Each provider receives only the information that its part of the work requires.

Providers are chosen with care and reviewed from time to time. Where a provider changes hands or changes the way it handles data, we assess the effect on our clients and take action if the standard of protection falls below what we expect. A provider that can not meet our requirements is replaced, and the migration is planned so that records are not lost or exposed during the move.

We do not authorise any provider to use personal information for its own marketing. Where a provider processes information outside Singapore, the transfer section of this policy explains the safeguards that apply.

International Transfers

Our workshop and records are based in Singapore. Some service providers operate infrastructure in other countries, which means that information may be stored or processed abroad. When that happens, we take reasonable steps to make sure the information continues to receive a standard of protection comparable to the one described in this policy.

The steps can include a written contract with standard data protection terms, a review of the provider security programme, or the use of a provider that keeps the information in a jurisdiction with an adequate legal framework. The list of providers is reviewed periodically, and any provider that can not demonstrate an adequate standard is not used for personal information.

A client who wishes to know whether a particular service involves a transfer abroad may ask the desk, and the reply will describe the arrangement in plain terms.

Retention of Records

We keep personal information only for as long as it is needed for the purpose for which it was collected, or for as long as the law requires. Financial records are kept for the period required by Singapore tax and company law. Project records, including measurement cards and handover notes, are kept for longer because they support later repairs and repeat work on the same system.

Enquiry correspondence that does not lead to a booking is normally removed after a reasonable period. Website analytics data is kept in aggregate and is not linked to an individual visitor where that can be avoided. When a record is no longer needed, it is deleted or anonymised in a way that makes it no longer possible to identify the person concerned.

A client may ask for earlier deletion of information that we are not required to keep. The desk will confirm in writing what can be removed and what must be retained, and will carry out the deletion within a reasonable time.

Security of Information

We protect personal information with technical and organisational measures that are appropriate to the size of the company and the sensitivity of the information. Access to client records is limited to the people who need it for their work. Passwords are kept private, devices are protected with current software and backups are stored so that they can be restored if a system fails.

Paper cards are kept in the workshop and are not left in open areas when the room is unattended. When a card is no longer needed, it is shredded rather than placed in ordinary waste. Visitors to the room are asked not to photograph client cards or records during a listening round.

No method of storage or transmission is completely secure. We work to reduce the risk and we act quickly if something goes wrong, but we can not promise absolute security. A visitor who suspects that a message or an account has been misused should contact the desk at once so that the matter can be checked.

Your Rights and Choices

Depending on where a person lives, the law may give certain rights over personal information. These can include the right to be told what information is held, the right to obtain a copy, the right to have inaccurate information corrected, the right to ask for deletion in some circumstances, the right to object to certain uses, and the right to withdraw consent where consent is the basis for processing.

We honour these rights for all clients and visitors, wherever they live, as a matter of good practice even where the law of their jurisdiction does not strictly require it. To exercise a right, send a message to forward@tatchuanaudio.com with enough detail to identify the records concerned. The desk may ask for proof of identity before acting, so that information is not released to the wrong person.

A person who is unhappy with the way a request has been handled may raise the matter with the desk directly, and may also contact the relevant privacy regulator in their jurisdiction.

Access and Correction Requests

An access request is answered within a reasonable period, normally within thirty days. The reply describes the categories of information held, the purpose of the processing and the parties to whom the information has been disclosed. Where the request is complex, the desk will explain the reason for any delay and give an expected date.

A correction request is handled in the same way. If the information is found to be inaccurate, it is corrected and any party that received the inaccurate information is informed where that is practical. If the information is found to be accurate, the reason is explained to the person who made the request.

In rare cases a request may be refused, for example where the information relates to a legal claim or to the rights of another person. A refusal is always accompanied by a written explanation and by information about how the decision can be reviewed.

Privacy for Children

Our services are intended for adults. We do not knowingly collect personal information from a child below the age required for independent consent in the relevant jurisdiction. A listening round is sometimes attended by a family, and a child may be present, but the contact details on file belong to the adult who made the booking.

If a parent or guardian believes that a child has sent personal information to us without permission, the desk should be contacted so that the information can be removed. The removal is carried out promptly and confirmed in writing.

Where a young person is genuinely interested in the work, a parent or guardian is welcome to arrange a visit on their behalf. The booking and the correspondence are handled with the adult, and no personal information is collected directly from the young person.

Marketing and Communications

We send occasional messages about listening events, seasonal handover evenings and new services. These messages are sent only to people who have asked for them or who have an existing client relationship with the company, and every message includes a simple way to stop receiving further messages.

An opt out takes effect as soon as it is processed, and the desk confirms that it has been carried out. Opting out of marketing does not stop the messages that are needed to deliver a booked service, such as a change of date or a handover reminder, because those are part of the work itself.

We do not rent, trade or sell contact lists, and we do not pass a client email address to a partner for the partner to use in its own marketing.

Workshop and Listening Room Records

A listening room keeps records that are slightly different from those of an office. The measurement card for a cabinet carries the technical profile of the system, but it may also carry the name of the owner, the date of the handover and notes about the room in which the system is installed. These notes are stored in the workshop and are handled as confidential client records.

Photographs taken during a build are used for the client file and, where the client agrees, for a simple record of the work in our own materials. We never publish a photograph that shows a client, a home or an address without written permission. Where permission has not been given, the photograph stays in the file and is not used elsewhere.

A handover evening is an evening, not a photo shoot. Visitors are not filmed or recorded unless they have asked for a recording of the room for their own use, and any such recording is shared only with the client.

Data Breach Response

If personal information is lost, accessed without authority or otherwise compromised, the desk acts quickly to contain the problem. The first steps are to secure the affected system, to identify what information was involved and to work out how serious the effect is likely to be. The team then decides who needs to be told and when.

Where the law requires notification to a regulator or to the people affected, we notify them without undue delay and include the information that is known at the time, together with the steps being taken to reduce the risk. Where notification is not required by law, we may still contact the people affected if the breach is likely to matter to them, because we would want to know in the same situation.

After an incident, the cause is reviewed and the practices that allowed it are changed. A short internal note records what happened and what was learned, so that the same problem is less likely to happen again.

Changes to This Policy

This policy is reviewed at least once a year and whenever a service, a provider or a legal requirement changes. A revision replaces the earlier version on the day it is published, and the effective date at the top of the page is updated. Where a change is significant, the desk will make it visible on the website rather than rely on a quiet edit.

Continued use of the website after a revised policy takes effect indicates acceptance of the revision. A visitor who does not accept a revision should stop using the website and may contact the desk with any question about the earlier version.

Earlier versions of the policy can be provided on request. The desk keeps a record of each revision so that the position at a past date can be established if it is needed.

How to Contact Us

Questions, requests and complaints about privacy should be sent to the desk. The desk is the first point of contact for every matter described in this policy, and it will either answer directly or pass the matter to the person responsible and confirm that it has been passed on.

The desk answers during business hours and aims to reply within one working day. A request that concerns legal rights is logged and given a reference so that its progress can be tracked. If a reply is taking longer than expected, a short note is sent to explain why and to give an expected date.
